How we handle your students' information

This page is for school leaders, teachers and the person who looks after privacy at your school. It explains, in plain words, what Genesis Desktop holds about your students, why, where it lives, who can see it, and what happens when you stop using it. It applies to every school account from the day your licence starts and forms part of our Terms for schools.

The short version: your students' information belongs to your school. We only use it to run Genesis for you. We never sell it, never show ads, and never use it to build profiles. It stays in Canada, and you can see, correct or delete it yourself at any time.

Only what your school enters, or what a student makes and does inside Genesis:

What we never collect

No browsing history, no search terms, no messages, no photographs, no location, no dates of birth, no government identifiers, and nothing from a student's home network. Students cannot create accounts, type in an email address, or communicate with anyone through Genesis.

About passcodes

Student sign-in passcodes are kept readable so a teacher can hand a child their code straight from the class roster. A passcode opens nothing but that child's classroom profile. Teacher passwords and your school's master PIN are stored hashed, never in plain text.

Keeping it safe

We keep safeguards that fit the sensitivity of the information: encryption in transit, hashed staff credentials, sign-in throttling, role-based access, signed software updates, nightly backups, and a written plan for handling incidents.

If something ever goes wrong

If we become aware of unauthorised access to, or loss of, your students' information, we will tell your designated contact without undue delay and within 72 hours of becoming aware, with what we know about what happened, what was affected and what we have done. We will help with any notices you need to make to parents or a privacy commissioner.

You stay in control

From the Teacher console you can, at any time: view every student record, correct a name, class or passcode, export documents and pictures, and delete an individual student, which removes that student's stored work and usage. If a parent or student asks you for access, a correction or a deletion, we will help you answer within 10 business days.

When you stop using Genesis

Questions and reviews

If your privacy officer has a questionnaire, send it over; we will answer it and share our relevant policies, on reasonable notice, once a year. If we ever change this page in a way that reduces your school's protections, we will write to your administrator at least 30 days beforehand, and you may end your licence without penalty.
